The Operations Officer supports the Operations Manager in the comprehensive day-to-day management of the operations department. This role is crucial for ensuring the seamless, efficient, and high-quality execution of all logistical and operational functions across the company’s diverse facilities and field operations, including the camps, vehicles, and equipment.

Responsibilities

Procurement Management:

  • Oversee the end-to-end procurement process, ensuring compliance with the company’s Procurement
  • Standard Operating Procedures (SOPs).
  • Vet and evaluate suppliers and service providers to ensure reliability, competitiveness, and quality.
  • Negotiate favourable terms, contracts, and pricing with suppliers.
  • Together with the main storekeeper, assess the quality of goods and services delivered to ensure they meet company standards.
  • Maintain and update the approved supplier database.
  • Prepare and submit timely procurement reports, including purchase analysis, supplier performance, and procurement status updates.
  • Liaise with finance and user departments to plan and prioritize procurement needs.

Equipment, Fleet and Maintenance:

  • Develop and implement vehicle movement plans to support operational needs efficiently.
  • Allocate vehicles to drivers based on schedules and priorities.
  • Monitor vehicle usage, fuel consumption, and mileage to ensure accountability and efficiency.
  • Oversee the servicing, repair, and maintenance schedule of all company vehicles.
  • Ensure all vehicles have valid insurance, inspection certificates, and road licenses.
  • Maintain accurate records of vehicle documents, repairs, and usage logs.
  • Coordinate with external garages and suppliers for spare parts and service contracts.
  • Monitor fuel cards and expressway tag usage and ensure proper recording. Prepare reports and submit to the head of department.
  • Ensure correct vehicle handover forms are used and appropriately filed. Maintain proper records.
  • Track and verify vehicle logbooks including details on journeys and distances covered, prepare reports and share with the head of department.

Maintenance Coordination:

  • Coordinate preventive and corrective maintenance of camp facilities and operational assets.
  • Oversee the maintenance and repair of key equipment such as generators, compressors, water pumps, cleaning machines, kitchen cockers/ fridges and solar panels.
  • Plan and coordinate maintenance of structural assets including tents, furniture, drainage systems and washrooms.
  • Liaise with contractors and technicians to ensure timely resolution of maintenance issues.
  • Maintain a maintenance schedule, track all works completed and prepare reports for accountability and records.
  • Ensure all health, safety, and environmental standards are adhered to during maintenance activities.

Administrative Support:

  • Raise monthly consumption report through spot check to establish consumption in each cost centre.
  • Generate wastage report and stock at hand report to track consumption.
  • Stay updated on industry trends and best practices to remain competitive and drive innovation in the operations.
  • Perform any other duty related to the role as may be assigned by the supervisor from time to time.

Requirements

  • Bachelor’s degree/ higher diploma in business management or related field.
  • Minimum three (3) years’ experience in operations, procurement, or logistics management.
  • Proficiency in procurement systems and Microsoft Office Suite.
  • Knowledge of regulatory requirements related to inventory control and safety standards.
  • Knowledge of automotive systems or mechanical equipment and/ or infrastructure maintenance is an added advantage.
