Admissions Manager at Durham International Schools

Admissions Manager

Key Responsibilities:

  • Administration of the whole admissions process, from first contact to full enrolment.
  • Monitor and review the school’s admissions and marketing strategy, ensuring it aligns with the School’s long-term goals and needs.
  • Ensure clear and efficient Admissions and Marketing policies and procedures are in place and are updated in accordance with the policy review schedule.
  • Plan, co-ordinate and implement a successful programme of admissions-related events including Open
  • Mornings and attendance at International School Fairs.
  • Oversee the School’s social media material and marketing campaigns.
  • Generate and maintain a close network of feeder schools and local employers including the UN,
  • Embassies, multinationals and relocation agents.
  • Ensure every step of the admissions process and communication with prospective families reflects the
  • School’s values, taking the time to understand each family’s unique needs and how the School can support their child’s academic and personal growth.
  • Ensure the smooth running of visits and conduct tours of the school for prospective parents and students in and out of term as required.
  • Arrange and coordinate taster/experience days for prospective students.
  • Liaise with the Heads of School and senior leadership as appropriate with regard to prospective students.
  • Timely communication with parents of prospective students to ensure they receive accurate information and updates regarding their child’s admission to the school.
  • Ensure references/reports from previous schools are received during the application process for each child’s admissions file.
  • Send out formal letters of offer together with the parent-school contract and liaise with the Finance
  • Manager in respect of fees, deposits and admission payments.
  • Oversee the application of pupil passes for international students and the annual renewal of these passes.
  • Oversee the arrival and welcome into School of new parents and students, including providing parents with all the information (handbooks, uniform lists, fee information) that they require prior to their child joining the School.
  • Maintain accurate and up-to-date student data on iSAMS, and the admissions register.
  • Manage the storage and use of admissions data to ensure accuracy, confidentiality, and compliance with data protection regulations.
  • Maintain up-to-date records of students who are leaving, ensuring the necessary student data is forwarded on to the relevant parties whenever a student leaves the School.
  • Manage the alumni database and the communication strategy to maintain regular and consistent communication with the School’s alumni.
  • Conduct regular data analysis and forecasting and enhancing the digital admissions journey with outstanding follow-up service.
  • Handle confidential and sensitive information pertaining to the School and individual children with utmost confidentiality and integrity
  • Drive continuous improvement in Admissions strategies

Person Specification:

Key skills and competencies Required

  • An understanding of the UK educational system is required
  • An understanding of sales and marketing principles together with the ability to report on performance is required
  • Strong interpersonal skills with proven experience to build effective and trusting relationships and professional networks in the wider community
  • A collaborative approach to teamwork and a warm and welcoming personality are key elements for success in this role
  • Confident technology user (Word and Excel), with a working knowledge of databases like iSAMS and using data for analysis, reporting and forecasting
  • High integrity and diplomacy with a genuine commitment to maintaining the reputation and values of the School
  • Excellent organisational, administrative and time-management skills – ability to plan, prioritise and manage a varied workload
  • Demonstrated competence in communicating effectively, both in writing and spoken
  • Adaptable to change and possess a willingness to embrace new ideas and processes.
  • The ability to think innovatively and rationally about decisions and come up with creative solutions.
  • Excellent problem-solving and decision-making aptitude
  • Self-motivated and able to work under minimum supervision
