Human Resource Officer

Main Responsibilities

  • Manage data entry and profiling, including employment records, status changes (appointments, probation, promotions, transfers, separations, confirmations, end of contracts, and staffing changes), and prepare related reports.
  • Prepare the monthly payroll and ensure all statutory deduction reports are forwarded to the finance department for payment by the 5th of every month.
  • Manage all types of leave (study, annual, paternity, compassionate) for the entire institution, including branches, leave schedules, and administration.
  • Provide general clerical and administrative support to the HR division, including drafting letters, memoranda, and reports related to human resource programs.
  • Ensure all staff have up-to-date job descriptions and that their files are properly maintained in safe custody.
  • Perform general office support duties, including making copies, maintaining calendars, sorting and distributing mail, and ordering office supplies.
  • Assist in analyzing staff needs and performance reports, including appraisals, training needs assessments, and performance improvement plans.
  • Coordinate with medical providers to ensure KIM employees are covered and receive their medical cards.
  • Assist in developing, communicating, and enforcing the Institute’s policies, procedures, and code of ethics to ensure ethical practices among staff and stakeholders.

  • Conducting skills audits.
  • Efficient payroll management.
  • Proper records management.

Key Skills and Competencies

  • Knowledge of Enterprise Resource Planning (ERP).
  • Computer literacy.

Knowledge and Experience Required

  • Bachelor’s degree in Human Resource from a recognized university.
  • Two (2) years of relevant experience.
  • Membership in the Institute of Human Resource Management (IHRM).
