RESPONSIBILITIES:

The Facilities Supervisor at Tatu City is responsible for overseeing the maintenance and operation of all facilities, infrastructure, and other assets under City Management. This includes ensuring a safe, functional, and aesthetically pleasing environment for all residents and visitors. The Facilities Supervisor will coordinate and supervise maintenance staff, manage vendor relationships, and ensure compliance with safety regulations. The Facilities Supervisor will also manage the city’s vehicle fleet, ensuring proper maintenance and efficient utilisation.

Key Responsibilities:

Maintenance Management:

  • Oversee routine and preventive maintenance of buildings, equipment, infrastructure and all assets under City Management.
  • Create and maintain an inventory of all assets within all facilities and under City Management.
  • Develop and implement planned preventive maintenance schedules and ensure timely completion.
  • Inspect facilities regularly to identify, document, track and resolve issues.

Fleet Management:

  • Manage the city’s fleet of vehicles, motorbikes and e-bikes, ensuring regular maintenance and repairs.
  • Monitor vehicle usage and fuel consumption to optimise efficiency.
  • Coordinate with drivers and ensure compliance with all transportation regulations.
  • Maintain detailed records of vehicle service history and operational costs.
  • Manage the company’s fleet management system
  • Coordinate with the legal team on all insurance and e-citizen-related aspects of vehicles

Team Supervision:

  • Lead and manage the facilities maintenance team, providing guidance and support.
  • Coordinate training and development programs for team members.
  • Conduct performance evaluations and provide feedback.

Vendor Coordination:

  • Manage relationships with contractors and service providers.
  • Oversee the procurement of maintenance supplies and equipment.
  • Ensure that all contracted work is completed to the highest standards.
  • Implement all internal SOPs related to vendor management

Safety and Compliance:

  • Ensure compliance with health and safety regulations.
  • Develop and implement safety protocols and emergency response plans for works under their scope
  • Coordinate with the EHS team to conduct regular premise inspections, safety audits and drills.

Budget Management:

  • Assist in the preparation of the facilities budget.
  • Monitor expenses and ensure cost-effective management of resources.
  • Review and approve invoices related to facilities maintenance.

Customer Service:

  • Address and resolve facilities-related issues raised by stakeholders.
  • Maintain open communication with all stakeholders to ensure satisfaction.
  • Implement feedback mechanisms to improve service delivery.

Project Management:

  • Plan and oversee renovation and refurbishment projects as may be directed.
  • Coordinate with architects, engineers, and construction teams as necessary.
  • Ensure projects are completed on time and within budget.

REQUIREMENTS

Hard skills and experience:

  • Bachelor’s degree in Construction Management, Real Estate, Engineering, or a related field.
  • Minimum of 5 years of experience in facilities management, with at least 2 years in a supervisory role.
  • Strong knowledge of building systems, maintenance procedures, and safety regulations.
  • Excellent leadership and team management skills.
  • Proficient in using work management tools.
  • Excellent report writing skills.
  • Strong problem-solving and decision-making abilities.
  • Excellent communication and interpersonal skills.
