Job Purpose
- The Procurement Specialist will be responsible for managing the supply of goods and services needed for the company’s operations. This role requires a detail-oriented professional who can negotiate effectively, ensure quality standards, manage vendor relationships, and maintain cost efficiency. The ideal candidate has experience developing procurement processes, and ensuring timely delivery of materials to support operations.
Job Description
Procurement Planning & Strategy
- Develop and implement effective procurement strategies aligned with company goals.
- Forecast procurement needs based on production and sales plans to ensure continuous availability of materials.
- Maintain a database of approved suppliers and ensure compliance with procurement policies and standards.
Sourcing & Vendor Management
- Identify, evaluate, and onboard reliable suppliers and service providers.
- Negotiate prices, terms, and contracts to achieve cost savings without compromising quality.
- Establish and maintain strong relationships with vendors to ensure timely supply and issue resolution.
- Conduct supplier performance evaluations regularly and recommend improvements or replacements as needed.
Purchasing & Inventory Coordination
- Prepare and process purchase orders, ensuring accuracy and timely approvals.
- Coordinate with production, retail, and logistics teams to maintain optimal stock levels.
- Track deliveries, follow up on delays, and ensure all goods received meet quality and specification standards.
- Work closely with the inventory department to manage reorder levels and minimize stock outs or overstocking.
Cost & Contract Management
- Monitor procurement budgets, track spending, and report on cost efficiency.
- Prepare, review, and manage supplier contracts in collaboration with the legal or finance teams.
- Identify opportunities to optimize procurement processes and reduce operational costs.
Compliance & Reporting
- Ensure all procurement activities comply with company policies, ethical standards, and legal requirements.
- Maintain proper documentation and records for audit purposes.
- Generate and present regular procurement performance and cost analysis reports to management.
Job Requirements
- Bachelor’s degree in Supply Chain Management, Procurement, Business Administration, or a related field.
- Minimum 2–3 years of experience in procurement, supply chain, or purchasing roles — ideally within manufacturing, retail, or FMCG industries.
- Certification from a recognized procurement body is an added advantage.
- Proven experience in vendor negotiation, contract management, and cost control.
- Proficiency in ERP or procurement software systems.
- Strong understanding of local and international sourcing regulations.
- Excellent communication, analytical, and organizational skills.
