Job Purpose

  • Oversee fleet fueling and tracking as well as keep fueling, maintenance and repair records

RESPONSIBILITY

Fuel : Co-ordinate fueling process for company vehicles

  • Handing over fuel cards to DE’s on upcountry routes at the beginning of each trip and receiving them back after the trip.
  • Prepare a reconciliation of fuel spend for each trip.
  • Prepare a weekly reconciliation.
  • Manage fuel purchase system with fuel companies.

Tracking and monitoring vehicles

  • Manage fleet management & tracking systems.
  • Track vehicle movement real-time on the FMS and ensure vehicles are only used on the route without deviation.

Insurance claim process

  • Complete insurance accident claim forms and share necessary documents with relevant insurer.

Statutory compliance in fleet

  • Schedule fleet inspection dates and book NTSA inspection dates for each vehicle.
  • Schedule speed governor renewal dates and make necessary arrangements for renewals

Repair approvals for fleet

  • Present quotes for approval with guidance from fleet officer.
  • Liaise with procurement for preparation of LPOs and sharing of the same with service.

Staff management

  • Prepare leave plan in conjunction with fleet officer and route planner
  • Manage leave forms for drivers

Preparing and presenting reports

  • Maintain updated fuel reports for GPL East Africa & Silverstone Tyres.
  • Prepare fleet P&L report.
  • Maintain vehicle maintenance and repair records and reporting thereof for GPL East Africa & Silverstone Tyres
  • Reconcile fuel and maintenance records with BC figures.

KEY PERFORMANCE INDICATORS

  • 100% accuracy in fuel and maintenance reports.
  • Achieve 100% reconciliation for fuel usage versus fuel company billing.
  • Achieve 100% tracking – know location and mission.
  • Timely and accurate filling and submission of insurance claim forms.
  • 100% statutory compliance for fleet - inspection and speed governor.
  • 100% leave capture and submission of forms to HR office.

Key Competencies

  • Highly Proficient in Computer software programs .
  • Strong Mathematical Skills
  • Knowledge of Data Analysis.
  • Knowledge of good record keeping and asset management
  • Competent in report presentation

Academic / Professional Background

  • Bachelors of Science (Applied Statistics, With IT) / Bachelor of accounting / Bachelor in Mechanical engineering with advanced Excel would also be acceptable.

Work experience

  • At least 2 years proven experience in Data Analysis. Experience in fleet or logistics management is an added advantage
