Role Description

  • A Legal Intake Specialist is the first point of contact for potential clients at a law firm. Their main responsibility is to gather initial information, assess case viability, and ensure a smooth intake process. This role directly impacts the firm’s efficiency and client satisfaction by managing the initial interaction, qualifying leads, and routing cases to the appropriate attorney.

Responsibilities

  • Initial Client Contact: Answer phone calls, respond to emails, and handle online inquiries.
  • Information Gathering: Collect relevant case details, client information, and assess client needs.
  • Case Assessment: Evaluate case potential based on firm criteria and determine alignment with expertise/resources.
  • Referral & Routing: Direct potential clients to the appropriate attorney or legal team.
  • Client Relationship Management: Build rapport, provide a positive first impression, and maintain professional communication.
  • Database Management: Update and maintain client information and case details in the firm’s system.
  • Follow-up: Conduct follow-up calls/emails to gather additional information or schedule consultations.
  • Documentation: Obtain health insurance, social security, medical records, bills, and provider information.
  • Administrative Tasks: Handle paperwork, schedule appointments, present case summaries/updates. Organize and maintain case files (electronic or paper) in accordance with firm policies.

Skills & Qualifications

Hard Skills

  • Minimum 2–3 years of experience in legal assistance, case management, or related fields.
  • Familiarity with legal terminology and procedures.
  • Data entry experience (plus).
  • Legal background (plus).
  • Experience in law firms preferred (Filevine experience highly valued).

Ideal Candidate Profile

  • Prior legal experience or work in a law office.
  • English C1 level is a must.
  • Results-oriented, able to integrate into a dynamic team.
  • Availability to work 100% on-site in Kenya.
