A leading Kenyan consultancy firm specialising in research, program evaluations, and technology solutions is seeking an experienced Executive Assistant to provide dedicated support to the CEO.
Role Overview
The Executive Assistant will deliver high-level administrative and strategic support to the CEO, facilitating the effective management of consultancy operations, client engagements, and business development initiatives. The position demands exceptional discretion, superior organisational capabilities, and seamless coordination with centralised Group support functions. This role offers a structured development path, with opportunities to assume increasing responsibilities and progress toward senior positions based on demonstrated performance.
Key Responsibilities
- Prepare detailed meeting agendas, compile pre-read documents, and summarise key points for executive review.
- Join meetings to take accurate notes, track action points, assign responsibilities, and ensure timely follow-up.
- Assist in creating high-quality presentations, briefing documents, and executive decks.
- Provide operational and administrative support, including maintaining dashboards, trackers, and lists of ongoing projects.
- Follow up with department heads on key deliverables to ensure alignment and progress.
- Schedule personal appointments, manage reminders, and provide discreet assistance with light family logistics.
- Shadow the CEO and senior leadership (including the COO) to learn workflows, decision-making processes, and executive styles.
- Identify operational or communication gaps and proactively propose practical solutions.
- Coordinate logistics for virtual and in-person meetings, including setting up conference calls, managing invitations, and distributing materials.
- Support HR administration tasks (preparing and updating contracts, coordinating onboarding, maintaining staff records, and ensuring compliance with labour regulations) in liaison with centralised Group HR services.
- Assist with basic book-keeping tasks and filing of financial and administrative documents, in coordination with centralised Group finance services.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Communications, Social Sciences, or a related discipline.
- Minimum 5 years of experience as an Executive Assistant or in a similar senior support role, preferably within consulting, research, health, or professional services environments.
- Demonstrated ability to manage complex schedules and maintain strict confidentiality in sensitive settings.

- Outstanding written and verbal communication abilities, including proficiency in drafting high-quality professional documents.
- Tech-savvy, with advanced proficiency in Google Workspace, Microsoft Office Suite, LinkedIn, CRM systems, and task management tools.
- High degree of discretion, initiative, and professional judgment.
