- We are recruiting on behalf of a leading manufacturing company seeking a Fleet Administrator to support efficient, compliant and cost-effective fleet and distribution operations.
Role Summary
- The Fleet Administrator will oversee fleet performance, supplier management, compliance, reporting and cost optimization while ensuring safe and efficient vehicle operations across multiple sites.
Key Responsibilities
Fleet Cost & Performance Management
- Monitor fleet efficiency, fuel consumption and telematics data to drive cost savings.
- Ensure timely servicing, tyre management and preventive maintenance.
- Promote safe driving behavior and support driver training initiatives.
- Analyze fleet data and prepare performance reports (spend vs budget, utilization, uptime).
Supplier & Stakeholder Management
- Manage relationships with fleet suppliers, repair vendors and service providers.
- Monitor supplier performance, resolve issues and follow up on payments.
- Collaborate with Supply Chain, Finance and Distribution teams to ensure value for money and operational efficiency.
Compliance & Risk Management
- Ensure compliance with statutory requirements (permits, insurance, inspections, speed governors, driver licenses).
- Support export compliance (e.g., phytosanitary certification).
- Investigate accidents and implement corrective actions.
- Identify operational risks and develop mitigation strategies.
Fleet Lifecycle Management
- Support acquisition and disposal of vehicles in collaboration with Procurement.
- Recommend fleet replacement strategies to optimize operating costs.
Process Improvement & Reporting
- Maintain fleet monitoring systems and generate regular performance reports.
- Engage drivers and internal stakeholders to address operational challenges.
- Provide monthly reports on compliance, utilization, incidents and spend.
Key Performance Indicators
- Vehicle repair & maintenance spend vs budget
- Fuel efficiency across sites
- Vehicle uptime & utilisation
- Compliance with statutory requirements
- Accuracy and timeliness of fleet records
Requirements
Qualifications & Experience
- Diploma/Degree in Supply Chain, Logistics, Business or related field.
- Professional membership (e.g., KISM) is an added advantage.
- Experience working with ERP systems (SAP preferred).
- Knowledge of imports, fleet management and distribution operations.
Skills & Competencies
- Strong analytical, reporting and coordination skills.
- Excellent communication, negotiation and relationship management abilities.
- Good automobile knowledge and problem-solving skills.
- Self-driven team player comfortable in multicultural environments.
