The Properties Maintenance Lead is responsible for planning, coordinating, and overseeing all maintenance activities across the company's property portfolio. This is a strategic operational role requiring strong planning discipline, analytical thinking, and comprehensive written reporting. The successful candidate will ensure that all properties are maintained to a high standard through well-structured preventive, corrective, and emergency maintenance programmes
This role is not a site-based, hands-on position. The Properties Maintenance Lead is expected to function as a planner, coordinator, and quality controller who manages outcomes across multiple sites rather than executing physical work directly or spending extended periods at any single location.
Key Responsibilities:
- Planning and Scheduling
- Develop and maintain preventive, corrective, and emergency maintenance programmes across all properties
- Prepare detailed work plans, timelines, and cost estimates for all maintenance projects
- Prioritise tasks across the portfolio and coordinate schedules with caretakers and tenants
- Quality Control and Inspections
- Conduct regular property inspections and document findings with photographic evidence
- Review and sign off all completed works before contractor payment is authorised
- Reject substandard workmanship and require corrections to agreed standard
- Budget and Procurement Management
- Alongside qualified technicians, review and approve itemised bills of materials
- Track expenditure against approved budgets daily/weekly and report variances
- All purchases must go through company-approved channels and follow company guidelines
- Reporting and Documentation
- Submit a comprehensive written weekly, monthly progress reports covering all maintenance activities, budget analysis, and recommendations
- Maintain full photographic and documentary records for all works across the portfolio
- Proactively recommend process improvements in writing with implementation suggestions
- Contractor and Staff Coordination
- Manage a network of qualified contractors across all relevant trade disciplines
- Conduct strategic, time-bound site visits across multiple properties
- Issue clear written work orders and address performance issues promptly and in writing
Qualifications
- Diploma or Degree in Building and Construction, Facilities Management, Civil Engineering, or a related technical field
- Minimum 5 years of maintenance experience across multiple properties or sites (Prior work in supervising building & construction is ideal but with the expertise of managing residential or commercial properties for rent and/or use
- Proven experience supervising maintenance works across multiple sites
Skills and Attributes
- Strong written communication skills: the ability to produce clear, structured reports and plans is a core requirement of this role
- Sound technical understanding across structural, electrical, plumbing, and finishing trades
- Competence in budgeting, costing, and supplier negotiation
- High level of personal integrity and strict financial accountability
- Strategic thinker who manages the function at portfolio level
- Proficiency in collaborative documents e.g. Google worksheets and proficient in the use of Microsoft Excel or equivalent for scheduling and expense tracking

This role requires equal investment of time in office-based planning and reporting as it does in site supervision.
